TERMS AND CONDITIONS

Subject to availability members and non-members may book the meeting rooms and Hot Desk areas available at the Premises.

You must not exceed the capacity limit for each meeting room unless agreed previously.

FEES

The Price, plus VAT, is payable before use of the meeting room and/or day pass booking unless otherwise agreed.

For members requiring ‘payment terms’, this will only be approved proving a valid Direct Debit mandate is in place or at our discretion.

Hire fees cover the period of initial hire only. If you want to extend your period of hire, you may do so with the on-site team, subject to availability, and subject to payment of any extra booking time.

Prices quoted are for bookings during centre opening hours, which, for the avoidance of doubt are:

Monday – Thursday 08:30 – 17:00
Friday 08:30 – 16:00

Any bookings requiring access outside of these hours will be charged at double the hourly rate unless otherwise agreed.

DEPOSIT

We may require you to pay a deposit in the event that we incur high additional charges in connection with your booking. If we do not receive your deposit within 5 working days prior to your booking, we then reserve the right to cancel your booking and if applicable, charge you in accordance with our cancellation policy which is set out below.

ACCESS PASS DEPOSIT

A £25 refundable deposit is required upon commencement of your monthly Hot Desk membership. This deposit covers the cost of your access card, which grants you secure access to the workspace Monday to Friday during regular business hours. The deposit will be refunded in full upon termination of your membership, provided the access card is returned to a member of the Centre Team in good condition. Lost or unreturned cards may result in the forfeiture of the deposit.

CANCELLATION

Where a booking is cancelled you must pay all charges as follows:

  • 72h or more before booking start time | 0% fee
  • 72h – 48h before Booking start time | 25% fee
  • 48h – 24h before Booking start time | 50% fee
  • 24h or less before Booking start time | 100% fee

NOTICE PERIOD IN RELATION TO HOT AND DEDICATED DESK MEMBERSHIP

Hot Desk Monthly Memberships operate on a flexible month-to-month basis; however, a minimum of one full calendar month’s notice is required to terminate your membership. This notice must be provided in writing (email is acceptable) and will take effect from the first day of the following calendar month. For example, if notice is given on April 15th, the membership will end on May 31st. Failure to provide appropriate notice may result in continued billing for the following month.

OTHER

LATE PAYMENT

If you do not pay invoices when due, we may charge a £25 late fee and/or interest at 4% above the Bank of England base rate, of the balance owed per calendar month.

If you dispute any part of your invoice, you must pay the amount not in dispute by the due date or be subjected to late fee’s. For disputed amounts, you must inform your centre team or Co-Space accounts at least 72 hours before your due date. Our accounts team can be contacted via: accounts@co-space.co.uk.

FAILED PAYMENTS

You will pay a fee of £25 for any returned or declined payments.

CONFIDENTIALITY

The terms of your agreement are confidential. Neither of us must disclose them without the others consent unless required to do so by law or official authority. This obligation continues after your agreement ends.

INDEMNITIES

Except where we are negligent, you must indemnify us in respect of all liability, claims, damage, loss and expenses which may arise:

  • From a third party
  • If someone is injured while in the workspace you are using
  • If you do not comply with the terms and conditions of your agreement

You must also pay any costs, including legal fees, which we incur in enforcing your agreement, these obligations continue after your agreement ends.

APPLICABLE LAW

English Law applies.

USING OUR FACILITIES

You must comply with all relevant laws and regulations in your use of services
You must not use them for illegal, obscene immoral or defamatory purposes
You must not do anything that may:

  • Interfere with the use of the relevant centre by us or by others
  • Cause loss or damage to us to the owner of any interest in the building
  • Bring our name or that of the centre into disrepute.

Co-Space is the trading name of CoSpace Group Limited, Company Number 11489535 whose registered office is 25 Town Square, Stevenage, England, SG1 1BP (we, us, our). 

Individual sites are held within the wider group outlines above.

These terms (Terms) set out the basis of your bookings and how you may use the premises listed on www.co-space.co.uk (Premises).

These Terms apply to members, guests of members and any non-members who use the private rooms available at the Premises.

We may vary these Terms from time to time with no prior warning.
